Driver qualification file retention periods
Editorial correction · sources checked 2026-10-03
Short answer
Generally keep the DQ file throughout the driver's employment and for 3 years after employment ends, under 49 CFR 391.51(c). Paragraph (d) allows these records to be removed 3 years after their date of execution:
1. Annual motor vehicle records.
2. Annual driving-record review notes.
3. Medical examiner certificates/copies and the required CDLIS medical-status MVRs.
4. FMCSA medical variances, including SPE certificates and federal medical exemption documents.
5. National Registry medical-examiner verification notes.
Keep the distinction
The three-year removal allowance does not apply to every document. For example, do not discard the initial employment application or road-test record solely because it is three years old. Keep the current required records and check other retention duties or preservation holds separately.
